CONFIDENTIAL Tender Enquiry No. LTC/C/MNT/2050/15 Page 106 of 196 8. JOB DESCRIPTION FOR TECHNICAL ASSISTANT Job Title : Technical Assistant Reports to : Maintenance Support Services Engineer 1. BASIC FUNCTION AND SCOPE: ? Carries out a variety of technical and administrative duties related to the ongoing operations of the Support Services Section, including answering telephone calls, typing, maintaining appointment dairy, keeping & updating files, dispatching & distributing outgoing and incoming mail and drafting routine correspondences,. ? Assist in the writing of various procedures related to Maintenance Support Services (Rigging, Scaffolding, Insulation, painting, etc…), ? Preparing daily and monthly reports, preparing gate passes, tracking and follow-up of all maintenance Support services records and implementation of COMPANY’s computerized maintenance system. 2. TASKS AND DUTIES: a. Carries out administrative and technical duties in Maintenance Support Services section. b. Attends telephone calls from various disciplines and coordinates with team Supervisors for smooth flow of work. Maintains filing system and coordinates with administrative office personnel. c. Assists in the preparation of technical and business procedures for the various processes of Maintenance. d. Assists Support Services Foreman in work order processing and follow- up, planning of the daily jobs and closing of work orders. e. Reviews the Policies and Procedure of the Maintenance Department to determine if interface and action with other Departments are required. f. Prepares various reports such as work order backlog, monthly Over-Time report for Support Services Contractors, etc. g. Tracks and updates all Corrective Action Request, non-Conformities, Improvement Suggestions, etc. for the Maintenance Support Services. h. Makes arrangement for meetings and attend to take minutes as directed. CONFIDENTIAL Tender Enquiry No. LTC/C/MNT/2050/15 Page 107 of 196 i. Types a variety of documents such as memoranda, faxes, reports, circulars, etc. in English. j. Performs other related or similar duties, such as compiling assigned contractor’s timesheets, store stock requisitions, accident reports serious disciplinary action reports, special technical reports, etc. all as directed by Support Services Engineer. k. Prepares gate passes and receives Section’s visitors. 3. WORK CONTACTS: Internal contacts on frequent basis with Maintenance Support Services section, Maintenance Department personnel, and Plant and Field Operations up to Supervisor / Engineer and Superintendent Level as required. 4. INDEPENDENCE OF OPERATION: Works according to established and specialized technical / administrative procedures. Receives work direction from Maintenance Support Services Engineer on daily basis. 5. SUPERVISORY RESPONSIBILITY: None. 6. PHYSICAL EFFORT: 20% - spent walking and standing on site visits. 80% - minimal. 7. WORK ENVIRONMENT: 20% - Non air-conditioned environment, exposed to heat, humidity, noise and fumes. 80% - Normal air-conditioned environment. 8. MINIMUM REQUIREMENTS: a. Completion of Secondary (12 years) education followed by 2 years formal technical or business training. B. A. in Commerce or B. Sc. in Engineering or equivalent desirable. b. 5 years of work experience in Oil / Gas Processing / Petro Chemical Industry. c. Excellent knowledge of written and spoken English. Ability to type in English at 40 w.p.m. f. Good interpersonal skills and ability to work in a team environment.
